Library Research Support: Open Research: Sharing research data

This guide is intended to provide advice and support on open access research, including guidance around Durham Research Online (DRO), open access publishing, research data management and related topics.

Data sharing during a project

This guide will help you share research data during a project.  The process for sharing depends on where the data are stored and on whether the other researcher is an internal or external collaborator.  If you need to share personal research data with an external researcher, it's best practice to have a Data Sharing Agreement in place.  Please contact Legal Services for assistance with drafting a Data Sharing Agreement.

OneDrive for Business

If your research data are stored on OneDrive for Business, you can share a file or folder with anyone by right-clicking on the item and selecting Share:

In this example, I have chosen to give READ permissions to Memo.docx to two people:
1. Sefnyn@gmail.com
2. PVC.research@durham.ac.uk

Each will be notified that I have shared one file with them.

Personal Research Storage (PRS) and Shared Research Storage (SRS)

Sharing PRS or SRS research data depends on whether the other researcher is internal or external.

For sharing with external researchers:

1.  Request a Temporary CIS Account for an external researcher by submitting this formRead the form carefully.  You may need to submit a different form for a Visiting Academic.  You may need to provide additional information to CIS, e.g., an Academic Technology Approval Scheme (ATAS) certificate.  CIS will guide you through the process.

2.  After an (external) researcher receives a CIS account, they will need to request VPN access to the Durham network by submitting this form.

3. Give an (external) researcher read or write access permissions to your files in PRS or SRS using the CIS Storage Manager.  The Storage Manager is a web app built by CIS and comes with plenty of good documentation.  On site, the Storage Manager will work without VPN.  Off site, connect to the Durham VPN before opening the Storage Manager.

For sharing with internal researchers, please follow steps 2 and 3 above.
